How to Roll Out AI Across Your Business in 90 Days

The gap between "we should use AI" and "we actually use AI, safely, and it pays off" is where most businesses get stuck. They either do nothing for months, or they let it spread with no plan and no way to tell what is working. Ninety days is enough to do it properly. Here is the shape of it.

The rule that runs through the whole thing

Never let adoption outrun governance. Every time you widen AI use, the controls widen with it. That single discipline is what separates a rollout that helps from one that creates a mess.

Days 1 to 30: ground rules and one pilot

Do not start with ten use cases. Start with rules and one.

• Name someone to own AI decisions.
• Adopt a short AI usage policy so staff know the boundaries from day one.
• Pick one team and one low-risk, high-frequency task to pilot. Drafting standard emails or summarising notes is a good first choice. Nothing touching customer data yet.
• Run the tool you will use through a proper check first. Set up a business-tier account, not a free login.
• At the end of the month, review honestly: did it save time, any near-misses.

Do not widen until the policy is live, the pilot tool is governed, and the pilot actually helped.

Days 31 to 60: expand by value

Now widen, but deliberately.

• Rank the next handful of opportunities by value against effort. Do the high-value, low-effort ones first.
• Check any new tool before your data touches it.
• Give every staff member a one-page version of the rules, because use is now going beyond the pilot team.
• Watch for tool sprawl. Fewer, well-governed tools beats many half-checked ones.

Days 61 to 90: embed and prove it

Make it normal and measured.

• Turn the prompts that worked into shared, saved templates so quality does not depend on who is asking.
• Total up what AI actually saved, in hours and dollars. This is your evidence, for the team and for yourself.
• Set the ongoing rhythm: who reviews tools and when, how new uses get approved, when the policy gets its next review.

The honest part most guides skip

Measure, and be willing to kill things. A use case that is break-even or worse should be stopped, not kept because it looks modern. The businesses that get value from AI are the ones that track it and cut what does not work.
